Quick answer
If rotas need to connect to service plans or church records, shortlist these first:
- ChurchSuite: start here if rotas need to connect to your people records, teams and member access. It documents availability, accept/decline responses and swaps.
- Planning Center: start here if the main job is planning services and scheduling worship and production volunteers, through its Services product.
- WorshipTools: start here if a worship team wants free planning and scheduling tools.
- Elvanto: start here if you want people, volunteer scheduling and service planning in one product. Check the full cost and UK fit.
- ChurchLinker: start here if you want rotas inside a broader UK-first platform. Test the trial workflow and product maturity.
This representative UK shortlist was researched on 25 July 2026 from supplier material, and the standalone rota tools below were rechecked on 20 October 2026. It is not a ranking and does not report hands-on testing.
If you only need a volunteer rota, not service planning or a church database, these standalone tools are simpler to start with:
- RotaCentral: start here if you want leader allocation and volunteer self-sign-up in one rota. Annual GBP plans start at £135 for up to 35 rota members.
- ShareRota: start here if one ministry team wants to try a free one-rota plan before paying. Paid plans start at £9 a month.
- Simple Church Rota: start here if a small church wants one flat price: £35 a year after a 30-day trial.
The right choice is the one volunteers will update and leaders can fix when plans change, not the one that schedules the most people. A simple welcome rota may only need a shared calendar and a clear owner. Check whether a broader system removes duplicate work or creates more administration than leaders can sustain.
Scope and method
The guide covers volunteer scheduling and service planning, not safeguarding case management, payroll or a full church database procurement. Products are examples with relevant published rota or service-planning material in the directory’s current records. The standalone tools are focused rota products whose suppliers name churches or places of worship as users and publish GBP prices. They are not a comprehensive market review or ranking. The same criteria apply to each: volunteer experience, leader permissions, real-time changes, links to people records, accessibility, cost and an intelligible export.
Start with the scheduling pattern
Churches need different things: a simple monthly welcome rota, several Sunday teams, safeguarding-aware children’s teams, production run sheets, or multi-site service plans. Do not buy a full church database solely to solve a rota, but do not create a disconnected rota if it needs the same people, permissions and communications as the rest of church life.
| Good starting point | Why research it | Test this first |
|---|---|---|
| ChurchSuite | Connected rotas, teams, availability, swaps and member access. | A volunteer decline, swap and leader-only view. |
| Planning Center | Dedicated Services product for service planning and volunteers. | A full service plan with musicians, production and late changes. |
| WorshipTools | Free planning and scheduling tools for worship teams. | Whether it covers the people and communication workflow you need. |
| Elvanto | Combined people, volunteer scheduling and service planning. | Full cost, setup and UK operating fit. |
| ChurchLinker | Published rotas in a UK-first broader platform. | Trial workflow and product maturity. |
ChurchSuite documents availability, accept/decline responses, swaps and capacity; Planning Center documents Services as service planning and volunteer scheduling. ChurchSuite rota guidance and Planning Center Services.
Standalone volunteer rota tools
A standalone rota tool fits when the job is getting the right people on the right dates, and the church already keeps its people records somewhere else or does not need a church database. None of the three below publishes service-planning features such as song lists or run sheets on the pages reviewed, and none is a church database. The trade-off is a second list of volunteer contact details that someone has to keep current.
| Tool | Published price (checked 20 October 2026) | What the supplier documents | Ask before adding real volunteer data |
|---|---|---|---|
| RotaCentral | £135 a year for up to 35 rota members and one rota, rising to £360 a year for up to 1,500 members and 10 rotas. Enterprise by enquiry. VAT not stated. | Leader allocation or volunteer self-sign-up, availability, swaps, shift confirmation, and email and SMS reminders. Places of worship are named among its users. | Its privacy notice states UK hosting and seven-year retention of rota and contact records. Ask whether that retention period suits the church, and for the current processing agreement and sub-processor list. |
| ShareRota | Free for one active rota. £9 a month for up to three rotas, £19 for unlimited rotas, £49 for white-label branding. 14-day trial on paid plans. VAT not stated. | A church page covering worship, welcome, media, youth and prayer teams, with reminders, leader-approved swaps and calendar exports. | Its privacy policy does not state a hosting region or retention period, and says the service does not address anyone under 18. Ask how youth teams with under-18 volunteers should be handled. |
| Simple Church Rota | £35 a year for the whole church after a 30-day trial with no card. VAT not stated. | Swap and cover requests, Google Calendar sync and an iCal feed, email, SMS and Telegram notifications, and PDF rotas. | Its privacy policy covers retention and deletion, but not the legal entity or hosting location. Ask for both, and for how to export people data if the church leaves. |

RotaCentral and ShareRota are general scheduling products with a church use case; Simple Church Rota is built for churches. Other volunteer-coordination tools, including Three Rings for general charity volunteering and OnNuma, which extends into events and youth tasks, are in the volunteer scheduling category.
Reduce the chasing
Scheduling fails when availability is stale, volunteers cannot see commitments, leaders have too much access, or every cancellation returns to one administrator. Test the system with an actual cancellation at 8pm on Saturday: can the right leader see the gap, contact the right people and record the change without exposing unnecessary personal data?
Choose the operating model
| Need | Why it may fit | Question or limitation to test |
|---|---|---|
| Connected teams, groups and people records | ChurchSuite or ChurchLinker | Does the broader platform have the exact service-planning depth and permissions needed? |
| Dedicated worship and production planning | Planning Center Services, WorshipTools or Elvanto | Will the church create a second unowned people record or communication route? |
| Volunteer rotas only, with people records kept elsewhere | RotaCentral, ShareRota or Simple Church Rota | Who keeps rota contact details in step with the main people record, and removes leavers? |
| One small predictable rota | Existing documented process or shared calendar | Can it handle absence, access and continuity without private copies? |
Rota software should not become a record of safeguarding judgements or confidential pastoral information. Agree what volunteer information belongs in it, who can see children’s-team details and who removes access when a role changes. The ICO notes that religious belief is special-category data; use proportionate permissions and do not assume an ordinary rota requires every profile field.
Questions leaders should answer
Ask every candidate: Can a volunteer state availability without seeing other people’s details? Can a leader fill a gap without becoming an administrator? Can the system distinguish a service plan from a rota? Can it avoid conflicts where that matters, and can a person decline without a complicated workaround? Does it provide a clear final plan in a format volunteers will actually use? Ask what happens when a leader leaves, an account is disabled or a team moves to a new service.
If the church uses several tools, document the source of truth for each person and team. Integration is helpful only when it removes a known handover; otherwise it can spread stale contact details further.
Minimum trial script
Create one service, three teams and a fictional volunteer with an availability conflict. Invite them, decline one date, arrange a swap, issue a final plan and make sure each person sees only what they should. Ask a non-technical leader to do it unaided.
Add these checks: give a leader a restricted role; export a fictional rota; remove a test volunteer; use keyboard-only navigation on a phone; and establish whether emails or app notifications are optional, editable and understood. Record training time, workaround, data exposure and who owns the exception. A feature observed in the trial is stronger evidence than a vague product claim.
Implementation, ownership and exit
Name a rota owner and a backup, define the cut-off for availability, and agree who is authorised to make a late change. Decide whether the rota is the source of truth or whether it exchanges information with another people system. Train leaders to use the same replacement process rather than reverting to private group messages.
Before commitment, test a usable export and check cancellation terms. Preserve the records the church needs for operational continuity, but do not retain personal data indefinitely merely because it is easy. Review access and the rota process after a few services: the right system should reduce chasing, not make it less visible.
Software listings to explore
The profiles below are relevant research starting points, not endorsements or a ranking.
- ChurchSuite for connected rotas, teams, availability and swaps; trial leader permissions and a late cancellation.
- Planning Center for a dedicated Services workflow; check the complete product mix and UK operating requirements.
- WorshipTools and Elvanto for worship/service-planning routes; check the people, export and support arrangements.
- ChurchLinker for a broader UK-oriented option; test product maturity and the exact rota workflow.
- RotaCentral, ShareRota and Simple Church Rota for standalone volunteer rotas; check data handling, under-18 volunteers and the export route before importing a whole team.
Your next step
Write one real service scenario, shortlist two options and have a ministry leader and an occasional volunteer run the same fictional-data trial. If the church cannot name the owner, access boundary and replacement process, fix those before purchasing software.
For children’s or vulnerable-adult teams, take advice from the church’s safeguarding lead about the information that belongs in the rota and the access boundary. Scheduling software can support an agreed process, but it cannot establish recruitment, DBS status, training or supervision. Keep those responsibilities clear rather than treating a team label as evidence of safeguarding clearance.
For multi-site churches, add a location and service to the trial. Check whether leaders can see enough to solve a problem without receiving every other site’s volunteer details. The right boundary is an operational and pastoral decision, not a default setting.
Keep a simple offline contingency for a service-day outage: who holds the final contact list, how it is protected, and how changes are returned to the system afterwards. This should be a proportionate exception process, not a second uncontrolled database.
