ChurchSuite is a web-based modular platform built around its Address Book. Supplier material describes modules for children, groups, rotas, service planning, events, calendar, bookings, communications, giving and member-facing access, with multi-site administration available within one account.
That breadth matters where the same person appears in several workflows: someone joins a group, serves on a rota, registers for an event, updates their details and gives regularly. A shared record can reduce repeated re-keying, but only when the church decides which system is authoritative for each process.
Does the published monthly price describe the church's real cost and finance workflow?
UK purchasing, giving and finance boundaries
ChurchSuite publishes monthly GBP pricing based on active adult contacts and selected modules, with VAT included where applicable. Its published entry point is £9 per month for 0–99 active adult contacts and one module, while six or more modules start at £32.50 per month in that contact band. Children stored only in the Children module are not counted for billing.
For UK customers, the Giving documentation covers preparing and submitting Gift Aid claims to HMRC Online Services. ChurchSuite also documents GoCardless for recurring and one-off bank donations; its support material says a 1% application fee, including VAT and capped at £2, is added alongside GoCardless charges. A treasurer should trial donation-to-reconciliation, declaration handling, claim corrections, accounting exports and all transaction fees rather than assuming that a giving module completes the church's finance controls.
Where do useful operational controls end and the church's own safeguarding responsibilities begin?
Children’s check-in and sensitive pastoral information
ChurchSuite’s Check-In documentation covers child and visitor registration, badges, matching collection codes, attendance, medical and allergy information, team attendance and adult-to-child ratio monitoring. These are substantial controls for a children’s ministry workflow and should be tested in the church’s real building, including its procedures for a busy collection or an unavailable device.
They do not establish a complete safeguarding management system. The reviewed material did not confirm DBS administration, concern logs, allegations, referrals or end-to-end case management. Pastoral notes can be private or restricted to user groups, but otherwise default to authorised users of the relevant module and site. The church should decide what belongs in routine pastoral records, who can access it and how safeguarding matters are handled separately.
Does the account structure match the way the church or parish is actually governed?
Multi-site and denominational fit
ChurchSuite documents multiple sites and site-based user permissions within one account. It also notes that some permissions operate consistently across a user's permitted sites rather than being independently configurable for each site and module combination. A multi-site church should therefore test its central-versus-local roles, reporting and sensitive-record boundaries before rollout.
For Church of England parishes, the supplier publishes an Electoral Roll workflow using forms, tags and key dates, while advising churches to check the final form with their diocese. For Catholic sacramental registers, canonical record-keeping and diocesan integrations, obtain a direct supplier answer before ChurchSuite is shortlisted.
Can the church run one real workflow without parallel spreadsheets—and leave with usable data if needed?
Implementation, adoption and leaving well
ChurchSuite publishes CSV import guidance, data-import assistance and CSV exports from module reports and custom tables. These are useful starting points, but the review did not establish one complete account export or the migration scope for every kind of historical record. Before signing, ask the supplier to demonstrate the export and migration of the church's actual contacts, relationships, giving, Gift Aid declarations, notes, attendance, rotas, communications and files.
The supplier says there is no long-term tie-in, but requires five clear working days' notice for cancellation and expects customers to export retained data before permanent account deletion. Use the 30-day trial to import a safe sample, invite ordinary volunteers, build a rota, create an event, test a member update and rehearse a data export. The practical success measure is whether those tasks can replace a parallel list, not whether a small project team can find the features.

What public reviews and peer discussion do — and do not — show
Independent evidence is thinner than ChurchSuite's supplier documentation. Recent Church-tech discussions include direct users who describe it as well built, volunteer-friendly and supported by a responsive team, but another recent discussion involving two ChurchSuite churches identifies persistent work in getting members and volunteers to use it consistently. UK App Store reviews also describe login, PIN and interrupted-workflow frustrations, although the detailed complaints are mainly from 2021 to 2023 and may no longer reflect the current app.
- A small number of recent direct users praise build quality, volunteer use and responsive support.
- Churches can still need repeated reminders, training and leadership modelling before volunteers and members use the system consistently.
- Historical mobile complaints are a reason to test current staff and volunteer journeys, not a conclusion about the current app.
