ChurchSuite vs Planning Center
A UK-focused comparison of ChurchSuite and Planning Center that separates their operating models, pricing logic, giving evidence and implementation demands.

ChurchSuite and Planning Center both cover the core work that leads churches to consider a management system: people records, events, groups, volunteers and communication. The meaningful difference is not which has “more features”. It is how each asks a church to assemble, pay for and run its operating system.
ChurchSuite is a connected, module-based suite with a strong UK orientation. Planning Center is an à la carte product suite built around a free central people database. For a UK church, that makes Gift Aid evidence, billing, the number of products needed and the team’s appetite for configuration more important than a generic feature checklist.

The table describes published information, not hands-on testing. A blank or “not confirmed” field needs a supplier answer; it is not a negative product claim.
The real choice: fixed suite boundary or selective assembly
ChurchSuite’s pricing is organised around a core Address Book and a number of selected modules. At the 0–99 active-contact band, its published monthly prices range from £9 for one module to £32.50 for six or more modules; prices are inclusive of VAT where applicable. Planning Center starts everyone with free product tiers. People is free for unlimited users, while its other products have their own capacity measures: Calendar by rooms, Check-Ins by busiest-day check-ins, and other tools by their relevant use. The supplier says there are no contracts or setup fees and that the first 30 days are free. Planning Center pricing.
Neither model is inherently cheaper. ChurchSuite can be clearer if the church wants a broad connected set of workflows. Planning Center can avoid paying for unneeded products. The risk is different in each case:
- With ChurchSuite, avoid subscribing to a broad set of modules before the church is ready to change the processes behind them.
- With Planning Center, avoid evaluating individual products cheaply and discovering later that the full workflow requires several paid products, hardware or extra administration.
Ask both suppliers to price the same written scenario over a year, including VAT, training, migration, messaging, payment fees, hardware and likely growth. Do not compare a single public starting price.
Giving and Gift Aid are a UK fork in the road
If a church wants its management system to help administer giving, this comparison becomes materially less symmetrical. ChurchSuite’s Giving documentation states that UK customers can manage Gift Aid declarations, the Gift Aid Small Donation Scheme and HMRC claims. It also documents online donations, contactless donations, statements, pledges and funds. ChurchSuite Giving.
Planning Center’s giving capability should not be assumed to match that UK workflow. This directory has not confirmed Gift Aid support for Planning Center. That does not mean a church cannot use Planning Center alongside a separate UK giving provider. It means the church must decide whether it is deliberately choosing a specialist giving arrangement and how donor, declaration and finance records will be reconciled.
The question is not “does it say donations?” It is:
- Can we collect the donation methods we plan to use?
- Who maintains the Gift Aid declaration and eligibility record?
- Can we prepare or reconcile claims without duplicate entry?
- What fees, exports and corrections will finance staff handle?
For a church whose giving administration is modest or already well served by a specialist provider, a connected giving module may not decide the comparison. For a church that needs one accountable workflow for declarations, donations and claims, it may be decisive.
Volunteer and service workflows
Both products should be tested with actual ministry leaders. ChurchSuite documents rotas with availability, accepting or declining requests, swaps, sign-up capacity and warnings for some clashes. Its member-facing service also lets rota members manage commitments. ChurchSuite rota guidance.
Planning Center positions Services as a product for service planning and volunteer scheduling. Its product boundaries can be a benefit when worship and production teams need a dedicated tool without buying an all-in-one suite first. Planning Center Services.
Run the same brief test:
- schedule a Sunday service with several teams;
- invite a volunteer who is unavailable;
- respond to a cancellation;
- give a ministry leader only the access they need;
- show the volunteer their commitments;
- export a simple record of participation.
The winner is the workflow your real leaders can maintain after the launch period—not the one that looked fastest in a supplier demonstration.
Data governance and exit
Both products process church records, so the church needs to set its own data boundary before it begins a trial. The ICO identifies personal data revealing religious or philosophical beliefs as special category data. It requires an Article 6 lawful basis and an additional Article 9 condition when that category is processed. ICO guidance.
Ask each supplier for current documentation on role permissions, multifactor authentication, audit records, sub-processors, hosting or international transfers, retention, exports and cancellation. Planning Center publishes People data-export guidance; ChurchSuite publishes CSV import guidance. Those documents do not remove the need to test a usable export of your own sample information.

Choose ChurchSuite when…
ChurchSuite is the more plausible starting point when your church wants a UK-oriented connected suite, needs documented Gift Aid administration, prefers published GBP contact-and-module pricing, and can appoint an owner for the shared platform. It is especially compelling when people records, groups, rotas, events and giving need to operate together.
Do not choose it solely because it is familiar in UK church circles. Confirm the modules, growth band, permissions, migration plan and total cost.
Choose Planning Center when…
Planning Center is the more plausible starting point when a modular approach fits the church, People provides a sensible free central record, and the service-planning or volunteer workflow is a key driver. Its product-by-product model rewards a team that can be precise about what it needs.
Do not choose it solely because the first products are free. Confirm the full product mix, UK purchasing and finance workflow, cost at scale and support for every requirement you have listed.
The decision record to take to leadership
Make the recommendation in one page. Name the workflows tested, the total-cost assumptions, the named system owner, the data and export evidence, unresolved supplier answers and a three-month review date. A simple record is more valuable than an invented score.
