Church management software can cost nothing in licence fees or hundreds each month. The public subscription is rarely the full cost. Make a three-year budget that includes the work and services needed to run it reliably.

There is no single responsible cost for church-management software. Compare a dated, like-for-like first-year and renewal budget: subscription, VAT or currency, modules, migration, training, payments, hardware, ongoing administration and exit. A lower monthly figure can cost more when it leaves manual work or technical responsibility without an owner. The examples below were checked on 25 July 2026; they are not quotes for an individual church.

This is a cost guide for church-management software and connected giving/operations, not financial advice or an accounting budget. The examples are representative directory entries with public supplier prices; they are not a price league table or a complete market survey. Public price is recorded only with its stated capacity, currency, billing and VAT qualifier. Record a missing cost as “written quote required”, never as zero.

Budget for these seven things
- Subscription: modules, people/contact bands, billing frequency and renewal.
- Tax and currency: VAT inclusion, exchange-rate exposure and payment method.
- Migration: cleaning duplicates, importing records and checking results.
- Training and setup: configuration, on-site help, documentation and volunteer time.
- Connected services: messages, payments, giving, labels, devices and integrations.
- Ongoing administration: access reviews, data quality, reporting and support.
- Exit: export, cancellation terms, archive and replacement migration.
The hidden cost is the unmanaged process left outside the product. A lower subscription can cost more if it leaves leaders manually reconciling lists every week. Conversely, a full suite wastes money if it replaces simple, stable work with configuration nobody can maintain.
Ask for a comparable quote
Give every supplier the same scenario: active people, administrators, modules, sites, rooms, check-ins, messages, giving volume and implementation support. Ask for first-year and renewal totals, with VAT and every known fee stated. Record unanswered costs as “written quote required”, not zero.

Do not turn volunteer time into a false cash figure unless the church has an agreed method. Record it separately so trustees can see who is expected to do the work. The Charity Commission says trustees remain responsible for suitable financial controls; regular reconciliation and a proportionate division of duties are not optional because a supplier dashboard exists.
Check the commercial and operational terms
Ask every supplier what triggers the next price band, whether prices are monthly or annual, whether VAT is included, how notice and renewals work, and whether any onboarding, data import, support, messages, payments or hardware are charged separately. If the product handles giving, model the church’s actual donation mix rather than adding one generic percentage.
Also test a fictional export before paying. Leaving a system can require data clean-up, an archive, redirects or a new migration; price and plan that work before entry. A system that is cheap only because the team cannot retrieve usable data has not delivered a low total cost.
A worked fictional comparison method
Suppose a church has 90 active contacts, two administrators, one rota workflow, a small events programme and online giving. Ask every supplier to price precisely that scenario for month one, month twelve and renewal—not its lowest public entry point. Add any required payment rate and device separately, then list the likely migration and training work without pretending it is free. Repeat the calculation for a growth scenario and a reduction scenario. The output is not a prediction; it is a record of assumptions that lets trustees see which variables change the decision.
If a quote cannot answer a material question, leave the cell blank and name the person responsible for obtaining it. That is more useful than a deceptive total.

Your next step
Write one common scenario, complete the worksheet for two to four plausible services and have the operational owner and finance lead review the assumptions together. Do not approve the purchase until every material question has an owner and the renewal and exit positions are recorded.
Keep the worksheet with the approval record. At renewal, replace assumptions with the actual number of active contacts, message use, support calls, payment fees and administration effort. That makes the next decision evidence-led rather than dependent on the original sales comparison.
Where a supplier offers a discount for annual or multi-year payment, distinguish a cash-flow choice from a lower underlying price. Check what happens after the promotional term, whether the church can leave, and whether an early payment would reduce flexibility needed during a migration.
For a small church, the least expensive responsible option may be a narrow paid tool combined with a documented process. Treat that as a valid comparator against a suite, rather than assuming every requirement must be purchased from one supplier.
Do not hide uncertainty in a contingency line. State whether a figure comes from current supplier material, an independent source or a church assumption, then revisit it before authorising renewal.
