Tools for storing church documents, sharing files with staff and volunteers, controlling folder access and handing over administration.
File storage gives church documents a shared home. It can help staff and volunteers find current minutes, service sheets, policies and team files without relying on one person’s account.
Start by checking whether a service your church already uses can meet the need. Clear folder names, agreed ownership and regular access reviews may be enough. A specialist service is worth considering when volunteer access or administrator handover remains difficult.
Before moving an archive, try a small set of ordinary documents. Check who can open, change and download them; remove a test user’s access; and practise handing administration to someone else. Ask how to download the full archive and restore an accidentally deleted file.
Storage is a different task from managing people, donations, rotas or safeguarding cases. Folder permissions alone do not establish that a service is suitable for sensitive records. Use the UK church GDPR supplier questions to prepare a service-specific discussion before storing personal information.
